Managing Outputs

Learn how to view, download, delete, and organize your Focusly-generated content.

What Are Outputs?

Outputs are the AI-generated content you create using Focusly's modules:

  • Notes summaries
  • Question sets
  • Practice quizzes
  • Flashcard decks
  • Exam questions
  • Revision plans
  • Language exercises
  • Memorization aids

Viewing Your Outputs

Saved Outputs Sidebar

All your outputs are displayed in the Saved Outputs sidebar on the right side of your workspace.

What you'll see:

  • List of folders (organized by subject or custom)
  • Outputs within each folder
  • Quick preview information
  • Action buttons (view, download, delete)

Viewing an Output

  1. Navigate to the Saved Outputs sidebar
  2. Click on a folder to expand it
  3. Click on any output to open it
  4. View the full content

Output display includes:

  • Module type (summary, questions, flashcards, etc.)
  • Subject
  • Label/title
  • Date created
  • Full content (formatted and readable)

Sorting and Filtering

Outputs can be organized by:

  • Date created (newest first, oldest first)
  • Module type (all summaries, all flashcards, etc.)
  • Subject/folder (Mathematics, English, etc.)
  • Label (alphabetically)

Downloading Outputs

Why Download?

  • Offline access: Study without internet
  • Backup: Keep local copies of important work
  • Sharing: Send to classmates or teachers
  • Printing: Create physical study materials
  • Import: Use in other apps (Anki, Quizlet, etc.)

How to Download

Single Output

  1. Open the output you want to download
  2. Look for Download button (usually top-right)
  3. Click Download
  4. Choose format if multiple options available
  5. File saves to your device's Downloads folder

Multiple Outputs

  1. Select multiple outputs (if feature available)
  2. Click Download Selected
  3. Downloads as ZIP file or individual files

Download Formats

Different modules may offer different formats:

Notes Summaries:

  • PDF (formatted for reading)
  • TXT (plain text)
  • Markdown (for note-taking apps)

Question Sets:

  • PDF (with answer key)
  • JSON (for importing to other systems)
  • TXT (plain text questions)

Flashcards:

  • CSV (for Anki, Quizlet)
  • PDF (printable cards)
  • JSON (structured data)

Revision Plans:

  • PDF (formatted schedule)
  • Calendar file (iCal, .ics)
  • Excel/CSV (spreadsheet)

Language Practice:

  • PDF (exercises and conversations)
  • TXT (text transcripts)

Using Downloaded Files

PDFs:

  • Open in any PDF reader
  • Print for physical copies
  • Annotate digitally

CSV files (Flashcards):

  • Import into Anki: File → Import → Select CSV
  • Import into Quizlet: Create set → Import → Paste
  • Open in Excel/Sheets for editing

TXT files:

  • Open in any text editor
  • Copy content as needed
  • Import to note-taking apps

JSON files:

  • For developers or advanced users
  • Import to custom applications
  • Parse programmatically

Deleting Outputs

Why Delete?

  • Free up space
  • Remove outdated materials
  • Declutter workspace
  • Keep only relevant content

How to Delete

Single Output

  1. Open or select the output
  2. Click Delete button or trash icon
  3. Confirm deletion
  4. Output is permanently removed

Multiple Outputs

  1. Select multiple outputs (if available)
  2. Click Delete Selected
  3. Confirm deletion
  4. All selected outputs removed

Entire Folder

  1. Select the folder
  2. Click folder options (⋮ or gear icon)
  3. Select Delete Folder
  4. Choose what to do with contents:
    • Delete all contents
    • Move contents to another folder
  5. Confirm deletion

Important Notes

Deletion is permanent:

  • ❌ Cannot be undone
  • ❌ No trash/recycle bin
  • ❌ No recovery option

Best practice:

  • ✅ Download important outputs before deleting
  • ✅ Double-check before confirming
  • ✅ Review folder contents before deleting folders

Editing Outputs

Current Functionality

Focusly outputs are read-only within the app:

  • Cannot edit generated content directly
  • Cannot modify saved outputs

Workarounds for Editing

Method 1: Download and Edit Locally

  1. Download output as TXT or PDF
  2. Open in text editor or word processor
  3. Make your edits
  4. Save locally

Method 2: Regenerate with Modifications

  1. Note what you want to change
  2. Create new output with updated parameters
  3. Delete old output if no longer needed

Method 3: Copy and Paste

  1. Open output in Focusly
  2. Select and copy text
  3. Paste into your preferred editor
  4. Make edits there

Future Features

Editing functionality may be added in future updates:

  • In-app text editing

Quick Tips

Use descriptive labels: When creating outputs, add clear labels like:

  • "Chapter 5 Summary - Photosynthesis"
  • "Practice Quiz - Week 3"
  • "Final Exam Flashcards - English"

Regular cleanup:

  • Weekly: Move unsorted items to folders
  • Monthly: Delete outdated materials
  • Before exams: Organize relevant materials

Folder structure:

  • Keep it simple
  • Use consistent naming
  • Organize by subject or purpose

Searching for Outputs

Finding Specific Content

If Focusly has search functionality:

  1. Look for search bar in Saved Outputs
  2. Enter keywords (subject, label, content)
  3. View matching results
  4. Click to open

Manual Search (if no search feature)

  1. Navigate to likely folder
  2. Check labels and dates
  3. Open to verify content
  4. Use browser's Find function (Ctrl+F / Cmd+F) when output is open

Search Tips

  • Use specific keywords
  • Try subject names
  • Search by date created
  • Look for unique terms from the content

Sharing Outputs

Current Sharing Methods

Download and send:

  1. Download output in desired format
  2. Share file via email, messaging, cloud storage
  3. Recipient can open and view

Copy and paste:

  1. Open output in Focusly
  2. Select and copy content
  3. Paste into email, document, or message

Sharing Best Practices

For study groups:

  • Export flashcards as CSV for easy sharing
  • Share PDFs of summaries
  • Coordinate folder structures for consistency

With teachers:

  • PDF format is most professional
  • Include clear labels and subjects
  • Add context if needed

For collaboration:

  • Use standard formats (PDF, CSV)
  • Include metadata (subject, date, topic)
  • Organize before sharing

Privacy Considerations

  • Only share content you created
  • Don't share account credentials
  • Be mindful of academic integrity policies
  • Verify sharing permissions for assignments

Backup Strategies

Regular Backups

Weekly backup:

  1. Download all important outputs
  2. Store in cloud (Google Drive, Dropbox, etc.)
  3. Organize in folders matching Focusly structure

Before exams:

  1. Download all exam-related materials
  2. Create local backup folder
  3. Store in multiple locations

End of semester/year:

  1. Download everything
  2. Archive in organized folders
  3. Clear out Focusly for fresh start

Managing Storage

Understanding Limits

Check if Focusly has:

  • Output limits: Maximum number of saved outputs
  • Storage limits: Total size of saved content
  • Folder limits: Maximum folders allowed

If limits exist:

  • Download and delete old outputs
  • Keep only current/relevant materials
  • Archive completed work locally

Optimizing Storage

Delete regularly:

  • Remove outdated practice materials
  • Clear old revision plans after exams
  • Delete duplicate outputs

Download and remove:

  1. Download important but old materials
  2. Delete from Focusly
  3. Free up space for new content

Prioritize current work:

  • Keep current semester materials
  • Archive previous semesters locally
  • Focus Focusly on active studies

Output Metadata

Each output stores information:

  • Module type: Which module created it
  • Subject: Academic subject
  • Label: Custom name/title
  • Date created: When it was generated
  • Folder: Where it's stored
  • Input used: Original content (may be stored)

Why Metadata Matters

  • Organization: Sort and filter effectively
  • Context: Remember when and why you created it
  • Tracking: See progress over time
  • Search: Find content more easily

Troubleshooting

Output won't open

  • Refresh the page
  • Check internet connection
  • Try different browser
  • Clear browser cache

Download not working

  • Check browser download settings
  • Ensure popup blocker isn't interfering
  • Try different file format
  • Check available storage space

Output disappeared

  • Check all folders, including default
  • Verify you're logged into correct account
  • Check if accidentally deleted
  • Refresh page to reload

Can't delete output

  • Ensure you have permissions
  • Check if output is open elsewhere
  • Try refreshing page
  • Clear browser cache

Export format not working

  • Verify file format compatibility
  • Try alternative format
  • Check if file is corrupted
  • Download again
